## When to use this communication preferences survey

A communication style survey can provide a starting point for a team working agreement. This example focuses on practical preferences, including channels, preparation, feedback, and response expectations. Use it before a team kickoff or a review of current communication habits. The seven optional questions do not assign a personality type or label one style as better than another.

## Make response expectations explicit

A short message can leave several things unclear: whether it needs action, when an answer is due, or whether a conversation would be easier. Ask colleagues which cues and formats would help them before setting a team-wide practice.

Giurge and Bohns (2021) examined how recipients interpreted non-urgent work emails, especially outside usual working hours. Across eight preregistered experiments, their abstract emphasizes the need to “explicitly communicate non-urgent expectations”. Read the Cornell-hosted [email expectations study ](https://ecommons.cornell.edu/entities/publication/0ace228b-a1d7-42c4-9b4d-ac6b60655062). The research concerns email response expectations; it does not validate a communication-style test or prove that a single channel suits every team.

## Adapt the communication preferences questionnaire

Name the team and upcoming work period in the invitation. Replace generic channel names only with tools the team actually uses, and preserve a no-preference or task-dependent option. Explain who will see individual responses. Do not promise anonymity in a small team unless the collection and reporting setup support it.

Keep routine updates separate from incident response or on-call duties. State the existing urgent-contact process outside the questionnaire so a preference response is not mistaken for an operational change. Ask about a preferred practice without collecting private messages or explanations of personal circumstances.

## Interpret the communication preferences responses

Summarize preferences for each situation separately. A person may favor written routine updates and a conversation for a complex problem; that is useful context, not an inconsistent response. Discuss split preferences before choosing a default, and record exceptions for urgency, accessibility, task complexity, or working hours. Turn the response-cue answers into an example message that states the action and timing clearly. Use the final comments to identify one workable rule to try, then agree when to review it. Do not rank colleagues, infer personality, or use preference differences as evidence of poor performance. Check the agreed practice through later feedback rather than assuming the survey itself improved communication.
