How to customize your meeting availability survey
Replace the slot labels' supporting details with real dates, start and end times, duration and time zone. Avoid labels such as next Tuesday or after lunch. Show the date-specific UTC offset when people join across regions, and check daylight-saving changes. Remove unavailable attendance modes before distributing the form. How to use the answers
First review Yes, Possibly and No for each slot. Treat a skipped answer as unknown, not available. Resolve required attendees' uncertainty before using preferences to break a tie. Sycara and Liu's 1994 paper distinguishes “individual availability constraints and preferences” in its meeting scheduling research . Its computational approach is not a validation study of this survey or evidence that SurveyLegend automatically optimizes calendars. The practical distinction matters here: a first-choice slot is unusable if essential attendees cannot join. If none works, propose new options without asking people to justify private conflicts, and send the final date through the organizer's normal invitation process.
