When to use this event space availability form

Use the form when an organizer has a proposed event but has not booked a space. A date alone is rarely enough to assess fit: setup time, headcount and layout can change which room is suitable. Adapt this SurveyLegend example to the venue's inquiry process and keep the booking decision separate.

What the answers help you decide

The form gives a coordinator a clear starting brief for checking a calendar and discussing suitable spaces. If the organizer still needs attendee input before choosing the event's format, SurveyLegend's event planning article covers that earlier task. This inquiry is for the next step, when someone is ready to ask a venue about a specific plan.

Adapt the event space availability form to your audience

Show the venue name, local time zone and an explanation of what happens after an inquiry. Keep setup and cleanup inside the requested access window, not hidden in a later message. If there are several possible layouts, use terms the venue can support and retain a need-advice option. Ask for functional access requirements without requesting diagnoses. Handle contact details through the venue's approved channel, and confirm them separately before replying.

Interpret your event space availability form responses

Review each inquiry individually. Check the requested date, the whole access window, expected people and room layout together before suggesting a space. Clarify ranges or undecided answers instead of silently converting them to firm numbers. Sort written requirements into access, equipment, catering and other logistics; SurveyLegend's open-ended data article can help organize those notes. Only the venue's separate review can establish availability, suitability and terms.

Hayat and colleagues' 2014 Orlando study discussed “decreased attendance and more conservative budgets” during the recession (abstract). Their meeting planner study illustrates why planning assumptions can change. This form therefore accepts an attendance range and flexible dates. The historical destination study does not establish current venue demand or room capacity.

Frequently asked questions

Does submitting this form reserve a space?

No. The venue must check availability and requirements, then complete its separate booking process. The public demo sends no inquiry to a venue.

What if the event date is undecided?

Use the not-decided instruction and the dates-still-open option. The coordinator can discuss a suitable planning window before checking specific dates.

Should setup time be included?

Yes. Include setup, the event itself and cleanup in the requested access window, with the time zone. A room available only during the event may not meet the full need.
