Sending an update is not the same as reaching everyone. Use this SurveyLegend template to learn which communication channels employees can access and how they want routine updates delivered.

Email may work well for a desk-based team while a shift-based team relies on a briefing or noticeboard. Ask about access before deciding that the most popular channel should become the only channel.

When to Use This Template

Use this questionnaire before revising an internal channel plan. Focus on routine organizational updates, not emergency alerts or confidential conversations. It helps separate where information arrives today from where employees would prefer to find it.

7 Internal Communication Channels Survey Questions

How to Adapt the Questionnaire

Replace channel labels with the tools and offline routes actually offered. In Q1, treat 'None of these' and 'Prefer not to answer' as exclusive choices; explain them if the chosen field does not support exclusivity. Invite workers through several routes, not only the channel being evaluated. SurveyLegend's survey bias guide helps explain why missing audiences matter.

When to Ask

Ask before a channel change while current routines are familiar. Include different shifts and enough time for staff without daily screen access. Repeat after a clearly stated trial period using the same reference window and comparable outreach.

How to Use the Responses

Compare access with main use and preference; a preferred channel is not usable by everyone. Q1 percentages can exceed 100% because people can select several channels. Keep people who did not receive updates visible. Review duplication alongside retrieval: employees may need one maintained source with useful reminders rather than fewer messages everywhere. Choose a change, state who owns it, and retain an accessible alternative. These responses do not measure employee engagement or prove that a channel caused better performance.

What the Research Adds

Jessica Roberts's 2013 master's thesis abstract states that the study “failed to establish a relationship between employee engagement and employees' communication channel preferences.” That result is a useful limit: asking about preferred channels does not measure engagement. This original questionnaire therefore separates access and delivery choices from judgments about commitment. The thesis's historical channel preferences should not be treated as a current ranking. Frequently asked questions

Is this an employee engagement survey?

No. It asks where employees receive updates and what affects access and use. Channel preference is not a measure of commitment.

Should the most popular channel replace every other one?

Not automatically. Check who cannot access it and preserve an appropriate alternative for those employees.

Why include printed and spoken channels?

Some roles have limited digital access during work. Include only real options, but do not assume every employee can use email or a portal.
