How to use the answers

Separate missing information from disagreement. An unclear impact explanation calls for clarification; a well-understood objection may require a project decision. Code open-ended data by question, affected decision and needed response. Publish a plain-language account of what was considered and what happens next without exposing individual comments.

Buchan and colleagues’ 2017 case study of user involvement in agile software development found “varying degrees of expectation alignments” between groups. The stakeholder expectations study supports checking expectations instead of assuming that project teams and users interpret involvement alike. Its case-study setting and methods differ from this original feedback form; it does not validate these questions or show that all stakeholder projects behave the same way.

Who should receive a stakeholder survey?

Invite people affected by the named project or whose input is relevant to an open decision. Explain why they are being asked and avoid relying only on the most vocal participants.

Does a favorable response mean project approval?

No. Feedback is not formal approval or consent. Use the required decision process separately.

How often should it be sent?

Choose milestones where the answers can change communication or involvement. If repeating it, keep the reference period and wording clear so differences can be interpreted.
